Cancellation and Attendance Policy for In-Person and Live Online Monthly/Weekly Coaching or Personal Training

Flexible Cancellation

Clients have the flexibility to cancel their in-person or live online monthly/weekly coaching or personal training subscription at any time. Billing is automated and will continue on a month-to-week basis until cancellation is requested.

Cancellation Process

To discontinue either in-person or live online coaching, please inform the coach or trainer who registered you. This can be done via the coaching app, text, call, or email, at least 72 hours before your next scheduled billing date. It is important to proactively manage your billing cycle and discuss this with your coach or trainer.

Refund and Late Cancellation

If you decide to cancel after your card has been charged, a partial refund will be issued. For cancellations within 24 hours of payment, a 35% late cancellation fee will apply. Beyond 24 hours, no refunds will be given; instead, credit will be offered for our online coaching app. This credit can be accessed at no additional cost by contacting your trainer or transferred to a friend or family member who isn’t currently training at A.S.F.

Appointment Attendance

Whether your session is in-person or live online, it's crucial to attend as scheduled. Any delays in starting a session will not extend the session time. Cancellations should be communicated at least 24 hours in advance through a call, text, email, or our app to avoid forfeiting the session. Missed appointments are non-refundable, and failure to cancel within the specified timeframe will result in a charge.

Client Absence Makeup Session Policy for Monthly In-Person and Live Online Training

Notification Requirement Clients are required to notify the trainer/coach at least 24 hours in advance if they cannot attend a scheduled in-person session.

Makeup Session Options

1. Option A: In-Person Makeup: Clients are eligible for an in-person makeup session, subject to the trainer's availability. Makeup sessions should be scheduled within 30 days of the start of your current session's billing date (Example: If you were billed on April 26, you have until May 26 to complete your makeup sessions that have been canceled 24 hours in advance. Limit to 2 for 2-session-a-week clients, limit to 3 for 3-session-a-week clients). This will ensure continuity in the training program.

2. Option B: Virtual Workout via Custom App: If scheduling an in-person makeup session is not feasible due to schedule conflicts, clients can opt for a virtual workout through the custom app. Your trainer can assign a specific workout tailored to your current program, ensuring progress despite the missed in-person session.

No-Roll Over Policy
Makeup sessions cannot be rolled over to the next month. This policy encourages timely use of makeup sessions and helps maintain a regular training schedule to continue progress toward desired goals.

Late Cancellations and No-Shows:
Late cancellations (less than 24 hours before the session) and no-shows may not be eligible for makeup sessions. Exceptions can be made for emergencies, at the discretion of the trainer.


?All requests for makeup sessions must be communicated through email, the custom app, or via text message to your trainer. This centralizes communication and keeps a record of all requests and approvals.

Your trainer will provide you with a link to schedule your valid (canceled 24 hours in advance) makeup session(s). If you don’t see a time that fits your schedule, please let your trainer know so you can be provided with a workout to do in the coaching app.?

Trainer/Coach Absence Makeup Session Policy

1. Advance Notice

Trainer/coach will provide clients with at least 24 hours' advance notice if they cannot make a session and will provide the client with a makeup session link to choose a makeup session. The client must confirm they received the link by replying through the same channel they received the message. The client has 48 hours to schedule the makeup session to ensure they get the best option available.

If the trainer/coach does not provide notice within 24 hours and it wasn’t an emergency, the client will receive a credit to their account for each missed session, which will be applied to their next payment (this will reduce the next payment).

2. Makeup Session Options (Client can choose 1 option that works best for them)

If the trainer needs to be gone for an extended amount of time, here are the client options:?The trainer/coach will email, text, or message through the custom app the following options to choose from. The client is to reply through the same channel they received the message by responding with either A, B, or C. Once the client has responded with their option, they will be provided information on the next steps based on the option they choose.

- Option A: If the trainer needs to be gone for an extended amount of time (more than 1 week) and there is no other trainer available, and the client doesn’t wish to do workouts in the app while the trainer/coach is gone. The client can pause their training until the trainer/coach returns, which will extend the billing date and client program.

- Option B (for trainer/extended absence and advance notice): Virtual Workout via Custom App: If rescheduling an in-person session is challenging due to the client and trainer/coach's schedule, the trainer will assign a tailored workout through the custom app on the designated training days to keep the client on track towards their goal.

- Option C (for an extended amount of time longer than 1 week but no longer than 2 weeks): The client receives up to 2 or 3 additional session credits to their account, which will be applied on their next billing date (this will reduce next month's payment), and will be provided virtual workouts to do within the custom app while the trainer is away, scheduled on the designated training days and times to keep the client on track towards their goal.

Courses and Classes Cancellation

The same cancellation and refund policies apply to both in-person and online courses and classes. Rescheduling is only possible if the instructor cancels or unforeseen circumstances necessitate a closure. In such cases, credits or refunds will be provided for the missed classes or courses.

Change of Mind

If you reconsider your decision within 24 hours of signing up for either in-person or online coaching, you're eligible for a partial refund, subject to a 35% cancellation fee. Beyond 24 hours, no refunds are issued, but you will receive credit for our online coaching app.

Late Cancellation Refund

If you fail to cancel in time and your card is charged, but you still wish to cancel within 24 hours of the charge, you will receive a partial refund minus a 35% late cancellation fee based on the charged amount. No refunds will be issued for cancellations made more than 24 hours after billing, but you will receive a credit for future coaching services.

Initial 24-Hour Cancellation

If you decide to cancel within 24 hours of signing up, the same refund policy applies — you will receive a partial refund with a 35% cancellation fee. After 24 hours, no refunds are issued, only credits for future coaching.

Pause Policy

You have the flexibility to pause your coaching at any time for any reason, such as a medical or financial break. Your coaching can be resumed whenever you are ready, and any remaining weeks will be available upon your return..

Commitment Policy for Online App Coaching

Our coaches' commitment to your success matches your own ambition. To ensure you achieve your fitness goals together, our coaches will expect your full engagement with the program. Here’s what this commitment involves:

Open Communication

Keep the lines of communication open. If you don’t have notifications enabled for the app, make it a habit to check the app daily for any messages from your coach.

Meal Tracking

Log your meals every day. Consistent tracking is crucial for nutritional guidance and adjustments.

Workout Logging

For every scheduled workout, log your weights and reps. This tracking is vital for monitoring your progress and making necessary adjustments.

Workout Rescheduling

If you’re unable to complete a scheduled workout, reschedule it within the app. To do this, select the workout, tap the three dots in the top right corner, choose "move to another day," select the new date, and inform you coach of the change.

Regular Check-ins

Complete your scheduled check-ins, including measurements, weight, and photos.

Your coach will provide the guidelines and roadmap, but the execution is up to you. Full communication and adherence to the plans are key to your success.
